Privacy Policy – Adventure Your Way Travel Service
Oct 10, 2026 · @Jodi-Anne Hasler
About this policy
Adventure Your Way Travel Service ("we", "us") respects your privacy and handles your personal information in line with the Privacy Act 1988 (Cth) and the 13 Australian Privacy Principles (APPs).
This policy explains what personal information we collect, why we collect it, who we share it with, and how you can access or correct it. It applies to our website, social media, phone and email enquiries, bookings and in-person dealings with you.
Personal information means information that identifies you or could reasonably identify you, such as your name, contact details or passport number.
What we collect
We only collect information we need to plan and run your trip (APP 3). Depending on the service, this may include:
-
Contact details: name, address, phone, email
-
Identity and travel documents: date of birth, passport number and expiry, visa details, frequent flyer numbers
-
Booking details: itineraries, accommodation and activity preferences, travel companions
-
Payment details: card details and billing information, processed through secure payment providers
-
Emergency contacts: the person you ask us to contact if something goes wrong
-
Online information: IP address, device and browser type, pages viewed, and cookies
-
Communications: emails, calls, messages, feedback and survey responses
Sensitive information. Sometimes we need health or other sensitive details, for example medical conditions, mobility needs, dietary requirements linked to health or religion, or travel insurance information. We only collect this with your consent, or where the law allows, and only use it to arrange suitable services for you (APP 3.3).
Travelling with others. If you book for family, friends or colleagues, please make sure they know you are giving us their details and have agreed to it. If you book for a child, we collect their information from you as their parent or guardian.
How we collect it
We collect personal information in lawful and fair ways (APP 3 and APP 5). Most of the time we get it straight from you:
-
When you make an enquiry, book a trip, sign up to our newsletter or complete an encrypted form
-
When you call, email, message us on social media or visit us
-
When you use our website, through cookies and analytics tools
Sometimes we collect information from other people, such as a travel companion or group organiser who books for you, or suppliers (airlines, hotels, tour operators, insurers) who confirm or change your booking. We only do this where it is reasonable and necessary to deliver your trip.
When we collect your information, we will tell you who we are, why we are collecting it, who we usually share it with and how to contact us. This policy and any collection notice on our forms do that job.
Dealing with us anonymously. You can browse our website or ask general questions without giving your name (APP 2). We usually need your details to make a booking, because airlines, hotels and border authorities require them.
How we use and share it
We use your information for the main reason we collected it, or for a related purpose you would reasonably expect (APP 6):
-
Planning, booking and managing your travel
-
Processing payments and issuing documents
-
Contacting you about your trip, including changes and emergencies
-
Meeting legal obligations, such as tax, record-keeping and anti-money-laundering requirements
-
Improving our services, website and customer experience
-
Handling complaints and resolving disputes
Who we share it with. To deliver your trip, we share only what is needed with:
-
Airlines, accommodation providers, tour operators, transport and activity suppliers
-
Travel insurers and payment processors
-
Visa and government authorities where required for travel
-
IT, cloud storage, website and email service providers who work for us under confidentiality obligations
-
Professional advisers such as accountants and lawyers
-
Government or law enforcement bodies where the law requires or authorises it
We do not sell your personal information.
Marketing. We may send you offers, newsletters and travel ideas if you have agreed, or if you would reasonably expect them as an existing customer (APP 7). You can opt out at any time by using the "unsubscribe" link or contacting us. We will act on your request promptly and free of charge. Opting out does not affect booking confirmations or trip updates.
Sensitive information is never used for marketing without your clear consent.
Sending information overseas
Travel often means sharing your details with businesses outside Australia, such as overseas hotels, airlines, tour operators, insurers and border authorities. The countries involved depend on where you travel.
We may also use cloud and IT providers whose servers are located overseas. Where we can, we take reasonable steps to make sure these providers handle your information in line with the APPs (APP 8).
If you book travel to another country, you accept that we need to send your details there to make your booking work. Once your information is with an overseas supplier, that supplier's own privacy laws apply and we cannot control how they handle it. If you have concerns about a particular destination or supplier, please ask us before you book.
Keeping your information safe
We take reasonable steps to protect your information from misuse, interference, loss and unauthorised access or disclosure (APP 11). These include:
-
Password-protected systems and restricted staff access
-
Secure, encrypted payment processing
-
Staff training on privacy and confidentiality
-
Confidentiality terms with our service providers
-
Secure disposal of paper and electronic records
How long we keep it. We keep your information only as long as we need it for the purposes above or to meet legal and tax record-keeping rules. When we no longer need it, we securely destroy it or de-identify it.
If something goes wrong. If a data breach is likely to cause you serious harm, we will notify you and the Office of the Australian Information Commissioner (OAIC) as required under the Notifiable Data Breaches scheme. We will tell you what happened, what information was involved and what steps you can take.
No online system is completely secure. Please take care with your own passwords and be cautious about sending sensitive details by unencrypted email.
Your rights and choices
Access. You can ask to see the personal information we hold about you (APP 12). We will respond within 30 days and will not charge for making the request. We may charge a reasonable fee to cover the cost of providing the information. We may refuse access in limited cases allowed by law, and if we do, we will explain why in writing.
Correction. If your information is wrong, out of date or incomplete, ask us to fix it (APP 13). We will correct it or, if we disagree, tell you why and note your request on your record.
Opting out. You can unsubscribe from marketing at any time (see "How we use and share it").
Cookies. Most browsers let you block or delete cookies. Some website features may not work properly if you do.

1 About us
1.1 Adventure Your Way Travel Service (ABN 66 552 770 155) (we, us) is an independently owned business operating under licence to Your Travel & Cruise Pty Ltd (Your Travel & Cruise). We operate under the umbrella of the Your Travel & Cruise group, which is a member of the Australian Travel Industry Association (ATIA).
1.2 We act as agent for airlines, cruise lines, tour operators, accommodation providers and other transport and service providers (suppliers). Your contract for travel services is with the relevant supplier, on that supplier’s terms.
1.3 You means the person or people signing this document and every traveller named on the booking.
2 Our planning service and fees
2.1 First contact. There is no obligation or charge when you first contact us. You may also cancel your first consultation at no cost. Nothing is payable until we meet.
2.2 Professional Fee. The Professional Fee is $200 and is payable at your first 1-hour consultation. It covers our professional time and research and allows us to recommend options based on your needs rather than on commission alone. It is non-refundable once paid, whether or not you go on to book.
2.3 Revisions. All necessary revisions to your itinerary are included until your final itinerary is produced.
2.4 Amendment Fee. An Amendment Fee of $50 per person applies to amendments you request after your final itinerary has been presented and signed. Supplier amendment fees are additional.
2.5 Special Booking Fee. A Special Booking Fee, from $100, applies only to bookings that need extra logistics and specialised coordination. We will tell you the fee and obtain your agreement before it applies.
2.6 Commission. We receive commission from many suppliers. Commission does not increase the price you pay.
2.7 GST. GST applies to all domestic travel.
3 Prices and availability
3.1 Neither we nor Your Travel & Cruise guarantee fares or prices until your booking has been confirmed in writing and full payment has been received.
3.2 Schedules, availability, fare conditions and prices can change at any time. Routing restrictions and other special conditions may apply.
4 Payments
4.1 Deposits. Booking deposits are due at your review consultation so that we can finalise and secure your reservations.
4.2 Payment schedule. Deposits and final payments follow our payment schedule, which is based on each supplier’s schedule. We will confirm every due date in writing.
4.3 Final balance. All final balances must be paid in full before we release your travel documents.
4.4 Late payments. If a payment is late, a supplier may cancel your booking or apply additional charges. Those charges, and any loss of the booking, are your responsibility.
4.5 Payment methods. Our preferred method is EFT or direct deposit. Visa and Mastercard are accepted, and no card surcharge applies. Cash can be deposited directly into our Westpac account by arrangement only. We will give you our account details when payment is due.
5 Cancellations and changes to bookings
5.1 Airlines, wholesalers, tour operators and other suppliers impose strict cancellation and amendment conditions and fees, often set out in the brochure, ticket or booking confirmation. Please read them carefully.
5.2 Deposits and payments for supplier services may be non-refundable, in whole or in part, depending on the supplier’s terms. If a supplier cancels or changes a service, the supplier’s terms determine any refund or alternative.
5.3 The Professional Fee and Amendment Fee are not refundable (see clauses 2.2 and 2.4).
5.4 Please send requests to cancel or amend a booking to us in writing, by email, so that nothing is missed.
6 Supplier terms and conditions
6.1 Every supplier has its own terms and conditions, and they apply to your booking in addition to these terms. They cover matters such as cancellation, refunds, changes, baggage, conduct and liability.
6.2 Where we can, we will direct you to supplier terms before you travel. You are responsible for reading them. If a supplier’s terms differ from these terms about that supplier’s own services, the supplier’s terms apply to those services.
6.3 Hosted small group tours may have additional terms, which we will give you at the time of booking.
7 Your Travel & Cruise terms
7.1 Because we operate under licence to Your Travel & Cruise, its terms and conditions also apply to your booking, together with these terms. A copy accompanies this document, and by signing you confirm you have received and read it.
8 Travel insurance
8.1 We strongly recommend comprehensive travel insurance, ideally arranged when you pay your first deposit. Good cover includes trip cancellation, medical expenses and emergency evacuation, baggage and travel delays.
8.2 Please check that your policy covers any existing medical conditions and the activities in your itinerary.
8.3 If you choose to travel without insurance, you do so at your own risk and you are responsible for costs that insurance would have covered. To the extent permitted by law, we, Your Travel & Cruise and our suppliers are not liable for those costs.
9 Passports, visas and entry requirements
9.1 You are responsible for making sure your passport is valid for at least 6 months beyond your return to Australia, and that you hold a re-entry visa if you do not hold an Australian passport.
9.2 You are also responsible for holding the appropriate visas for every country you visit or transit.
9.3 You must give us each traveller’s name exactly as it appears on their passport. Errors can lead to airline and supplier fees, which are your responsibility.
9.4 Please check the Australian Government’s Smartraveller website (www.smartraveller.gov.au) for current travel advice and warnings, and the Transport Safety Bureau’s website (travelsecure.infrastructure.gov.au) for security measures in place.
10 Flights and check-in
10.1 We recommend you check your flight details and all transport reservations at least 24 hours before departure, as schedules can change before travel.
10.2 International flights: check in at least 120 minutes before departure. In peak travel periods you may need to check in much earlier, and we recommend 3 hours.
10.3 Domestic flights: check in at least 1 hour before departure. In peak travel periods you may need to check in much earlier, and we recommend 2 hours.
11 Destination conditions, health and safety
11.1 Advice we give about conditions at your destination is based on the best information available at the time. It is not a guarantee of existing conditions.
11.2 To the extent permitted by law, we are not responsible for adverse conditions you may encounter that are outside our control, including weather, hotels, modes of transport, visa requirements, political situations, transport operating times and any other incident that may affect you.
11.3 You are responsible for making sure you are fit and healthy enough to travel and for meeting any vaccination or health requirements for your destinations.
12 Our responsibility
12.1 We will provide our planning and booking services with due care and skill.
12.2 As agent for suppliers, and to the extent permitted by law, we and Your Travel & Cruise are not liable for the acts or omissions of suppliers, or for extra expenses caused by schedule changes, delays, cancellations or other events outside our control.
12.3 Nothing in these terms excludes, restricts or modifies any right or remedy you have under the Australian Consumer Law or any other law that cannot be excluded.
13 Group bookings
13.1 If you sign on behalf of other travellers, you confirm you have their authority to do so, that you have given them a copy of these terms, and that you are responsible for payments due under the booking.
14 Privacy, authority and disclosure
14.1 Privacy. We collect the personal information needed to plan and book your travel, such as names, passport details, contact details and, where relevant, health or dietary needs. We share it with suppliers and Your Travel & Cruise as needed and store it in our client management system. By signing, you consent to this. You can ask us to see or correct your information at any time.
14.2 Authority. If an accident, disaster or emergency is reported in a country where you will or may be travelling, you authorise us to disclose to the Australian Government Department of Foreign Affairs and Trade your itinerary (including, without limitation, transport and accommodation arrangements) and your contact details within Australia and overseas.
14.3 Disclosure. If you hold an Australian passport, you must ensure it is valid for six months after your return to Australia, and tell us if you would like us to make any visa application for you.
14.4 If you are travelling to a country that does not require a visa for Australian passport holders, you must tell us if you have ever been arrested or convicted of any offence or breach of law. Non-disclosure may lead to you being refused entry on arrival and, to the extent permitted by law, we cannot accept responsibility for that outcome. If you prefer not to tell us, you must contact the embassy of each destination country and make your own arrangements for entry.
15 Complaints and governing law
15.1 If something is not right, please tell us as soon as possible, ideally while you are travelling so we can help put it right. Contact us by email at info@adventureyourway.com.au or on WhatsApp on +61 430 891 350.
15.2 These terms are governed by the laws of Victoria, Australia, and the courts of Victoria have jurisdiction.
16 Changes to these terms
16.1 We may update these terms from time to time. The version you sign applies to your booking.
